HUAWEI CONNECT 2025 MADRID (hereinafter referred to as “HC 2025 MADRID” or the “Event”) is an event organized by Huawei Technologies Dusseldorf GmbH, a company duly incorporated and existing under the laws of Germany, and its registered office located at Hansaallee 205, 40549 Düsseldorf, Germany (hereinafter referred to as “Huawei”, "we", "us" or "our"). This Privacy Statement (the "Privacy Statement") describes how Huawei uses and protects your personal information during your registration and participation in the Event. You can read the Privacy Statement to understand the scope, purpose, and means of personal information processing. You understand that this Privacy Statement may not cover every possible scenario related to the processing of personal information. Any scenarios not addressed in this Privacy Statement will be covered in a separate privacy statement or an updated version of this Privacy Statement.

DigitALL Night 2025 (a section for university students who have reached 18 years old or adult age) is included in HC 2025 MADRID. Also, the European Partner Convention 2025, a meeting session for the Mainstream Partners from Engineering, General, Production, HR, Administrative & CBG Procurement, is included in HC 2025 MADRID. Registered Participants of these sections are able to join in other sessions of the HC 2025 MADRID as well.

We take your privacy seriously, and take all appropriate security measures to protect it in accordance with the industry's well-established safety standards. Personal data means any information relating to an identified or identifiable natural person.

1. How do we process your personal data and what is the legal basis?

1) Event Management: To help you register for the main conference and enjoy the onsite experience, we will process your personal data via Huawei's Congress Information Management System (CIMS) after obtaining your prior explicit consent - Article 6(1)(a) GDPR. The personal data processed for this purpose is: First Name, Last Name, Email, Telephone (optional), Company Name, Industry, Country/Region, Job title, co-relation with Huawei, your interested session, and Name of Huawei employee who invited you to the event (if applicable).

For DigitALL Night 2025 and European Partner Convention 2025, we will also process the below personal data; however, you are required to complete the online registration for these events by yourself via registration website. These data are necessary for providing the event sessions according to the Terms of Services agreed by you when completing the online registration; therefore, we process your data based on the performance of a contract according to Article 6(1)(b) GDPR. Without such data, we cannot properly register you for either the online or offline events:

a) Register as a student participant for the DigitALL Night 2025 session: your First Name, Last Name, Email, Telephone (optional), field of study, University/Institution, University Location, Graduation Time, where you want to attend the venue, which program you are interested in about Huawei, how did you find out about DigitALL Night 2025, and what kind of job position are you looking for, will be processed.

b) Register as a participant for the European Partner Convention 2025: your First Name, Last Name, Email, Telephone (optional), Company Name, Industry (optional), Country/Region, Job title, how did you hear about Huawei Partner Convention, procurement category, and Name of Huawei employee who invited you to the event (if applicable) will be processed.

2) Promotion of the event: To promote the event on Huawei official websites, Huawei social media accounts, Huawei publicity or marketing articles/posts published in the media , we will make recordings of the sessions, take photos or videos of you as speaker or participant, recordings of your speech as a speaker or participant if applicable, to promote the event in general manner. The processing scenarios below are based on our legitimate interests of promoting the event held by us, as per Article 6(1)(f) GDPR, or on your consent if you are speaker, as per Article 6 (1) (a) GDPR.

- Video of the sessions and photograph of the speakers: The processing (including further promotion), will only be based on the speaker’s prior consent and confirmation to the Authorization Letter. If you have not given us the authorization, your image/voice or other information will not be processed. You have the right to withdraw your consent at any time, without prejudice of the personal data processed before your consent was revoked. For exercising your right to revoke consent, please use the methods described on Section 5 of this Privacy Statement.
- Photograph in general about the event / venue: We may take photos to promote the popularity of the event and present the venue in general. Your image may be fully or partially included unintentionally. If you do not wish any further use of the photographs and recordings showing you, please contact us as described in Section 5 of this Privacy Statement.

3) Improvement of the Event: Based on our legitimate interest to improve the Event as per Article 6(1)(f) GDPR, your information will be processed respectively as mentioned below:
- To analyze the event organization, or conduct statistical review, for business participants, your First Name, Last Name, Email, Telephone (optional), Company Name, Industry, Country/Region will be processed.
- To analyze the event organization, or conduct statistical review, for student participants in the DigitALL Night 2025 session, your First Name, Last Name, Email, Telephone (optional), Country/Region, field of study, University/Institution, which program you are interested in about Huawei, how did you find out about DigitALL Night 2025, will be processed.

4) Survey: At the HC 2025 MADRID venue, the participants can choose to participate to a survey about the Event, by scanning the code provided. Your valued opinions and comments will be submitted with your personal information like your Name(optional), company(optional), and email(optional). This processing is based on our legitimate interest to perform project review and make improvements in the future, according to Article 6(1)(f) GDPR.

5) Electronic Direct Marketing/EDM for student participants: We will process your Email, First Name, Last Name, University/ Institution name, field of Study, time of graduation, your interested topics (optional), and the source from which you have found out about our event (optional), to provide you with information about campus events, recruitment events, and career opportunities. This processing is based on your consent as per Article 6 (1) (a) GDPR. You have the right to withdraw your consent through the “Unsubscribe” option in any of the EDM Emails received from us, or as described in Section 5 of this Privacy Statement.

6) Talent Pool for Students: If you are a student participating at the DigitALL Night 2025 session, you can scan the QR code provided onsite to join the Huawei Talent Pool. Based on your consent as per Article 6(1)(a) GDPR, we will use your E-mail, First Name and Last Name, University/Institution name, Country/Region of University, Major, Academic Degree, Education Time, Expected Work Location, what kind of job are you looking for, and your CV/resume (if provided by you), to include your profile into Huawei Talent Pool and further email you with the recruitment information or job opportunities. You have the right to withdraw your consent at any time, without prejudice of the personal data processed before your consent was revoked. 7) Travel and Accommodation Support: If you need our assistance with your invitation letter for visa application, travel or accommodation arrangements, and special dietary needs, we will need to collect your valid ID/passport information, visa-related information, phone number, e-mail address, flight and accommodation information and preferences, and dietary requirements. This processing is based on your consent as per Article 6 (1) (a) GDPR. You have the right to withdraw your consent. To withdraw your consent follow the steps as described in Section 5 of this Privacy Statement.

8) Verification and identification of onsite attendance: Your badge displays your name, company name, and attendee ID. When collecting the badge on-site, staff will use your name and company to verify your identity. Upon entering the conference site, the on-site staff will scan your attendee ID using a PDA for check-in. This processing is necessary for pursuing our legitimate interests of allowing only registered participants to attend the Event onsite, and to ensure the safety and security of all participants and Huawei staff - Article 6 (1) (f) GDPR.

2.How long and where do we store your data?

The data retention period may vary depending on scenario and service. Unless otherwise stated in Section 4, your personal data will be stored in Ireland. After the retention period expires, we will erase or anonymize your personal data.

Event Management

Huawei will engage third party suppliers which may remotely access your personal data from Peoples’ Republic of China, to manage the event and registration process.

Promotion of the event

Video and photograph of the speakers will be disseminated to promoting channels as specified in the Authorization letter confirmed by you. Photograph in general about the event / venue, will be disseminated on our social media channels, presentation, brochures, etc.

You understand and agree that Huawei has only a limited control over the recipients of the data once it is uploaded to promoting channels/Social Media and that Huawei is not responsible for the Social Media sites owners’ uses of your personal data. They have their own privacy policies and are considered as controllers separate from Huawei. Huawei cannot be held responsible for executing your rights against those third parties.
Please note that by posting personal data to promoting channels/Social Media, the personal data may be transferred to third countries, subject to the promoting channels/Social Media website owners’ privacy policies. Huawei has no control over such transfers, if they occur.

Survey

Huawei will disclose your personal data provided for survey purposes to third party suppliers and our Huawei local affiliates in EU/EEA to organize the survey and lucky draw activity, and to improve the event. 3) Disclosures related to legal requirements and business transactions

Huawei may share your data in response to a legal process or request from a competent authority based on an applicable law or in connection with legal proceeding or process.
Your data may also be disclosed as part of a merger, acquisition, sale of assets (such as service agreements) or transition of service to a Huawei group or other relevant company.

5. What are your rights and choices?

You can access the Data Subject Request Portal to exercise your data subject right. When filling the request, please select the category “Others” on the Requestor Type field.
