Privacy Statement for UBBF 2023

The 9th Ultra-Broadband Forum (UBBF 2023) is organized by Huawei Technologies Co., Ltd. and its affiliates (collectively, "Huawei" or "we", "us", and "our"), who provide technology and management support. Huawei is very aware of how important your privacy is to you, and is committed to respecting your data and privacy. UBBF 2023 will be held in Dubai UAE from October 12th to 13th, 2023. This Privacy Statement ("this Statement") describes how Huawei uses your personal data and protects your privacy when you register to attend the online and offline activities of UBBF 2023 ("the Event"). You understand that our collection of this information is necessary for you as participant of the Event. If you choose not to provide or disagree with our collection and use of the above information, you will not be able to participate the UBBF 2023.

  10. 1. How We Collect & Use Your Personal Data

    Personal Data means any information relating to an identified or identifiable natural person. We collect personal data from you in the course of your interaction with us based on requirements for event interaction management. Your interaction with us may include:

    a) Personal data provided when you contact us, use the Services, or request support or help from us, such as contact information (full name, email and mailing addresses, and mobile phone number), business information (enterprise name, industry, and position), and your signature;

    b) Your facial and moving footages, images, and/or voice as observable by closed-circuit television (CCTV) devices.

    When you read and agree with this Policy, Huawei will directly collect and process your personal data through online and offline channels to provide you with high-quality services and activity information.

    The following describes the scenarios, types, methods, and purposes of the processing of your personal data.

    1.1 To help you sign up and enjoy online and offline activity experience, we will collect your personal data including name-surname, gender, title, email address, phone number, and login information (account and password) using Huawei official website, Huawei congress information management system (CIMS), and other methods upon your consent. After your registration is successful, we will automatically generate your participation ID, which will be displayed on your Confirmation Code.

    1.2 During this Event, onsite staff will record videos and take photos for publicity purposes, including for live broadcast. These "recording materials" include but are not limited to electronic records, video recordings, audio recordings, and photos. The preceding recording materials are used only for the Event publicity purposes. If you do not want to join us or do not want Huawei to use the recording materials related to you, please contact us in a timely manner.

    You agree that Huawei is the copyright owner of the recording materials and can use them freely. You agree to release and waive any right to review or approve such recording materials of you, and do not or will not file any claim or lawsuit against the corresponding third parties in terms of libel, public or personal privacy infringement, copyright or trademark infringement, unfair competition, etc.

    1.3 When you experience the products or services displayed on exhibition booths at the Event site's premise in Dubai, we will collect required personal information from you, such as facial information. For details, see the privacy statement placed on site.

    1.4 We will collect your name, company, region, industry, and email address when you register for the live broadcast service, or other services (such as questionnaires) on the live streaming platform.

    1.5 If you attend the Event onsite, when you collect your badge, staff will use a Portable Digital Assistance (PDA) to scan your identity document and verify your privileges. The scanned information will not be stored or retained.

    We may also use your personal data for the following purposes:

    (a) Providing you with services or specific experiences.

    (b) Inviting you to participate in online or offline activities.

    (c) Fulfilling your requests for changes or providing you with information you have requested (such as marketing materials for products and services, and white papers); and providing technical support.

    (d) Contacting you with your consent; sending you information about products and services that may interest you; inviting you to participate in Huawei activities (including promotional activities), market surveys, or satisfaction surveys; or sending you marketing information. If you do not want to receive these types of information, you can opt out at any time.

    (e) Providing you with customized user experience and content.

    (f) Improving our products and services through internal audits, data analysis, and research.

    (g) Analyzing the efficiency of our business operations and evaluating market share.

    (h) Complying with and enforcing applicable legal requirements, industry standards, and our policies.

    Huawei may also collect and use non-personally identifiable information (non-PII). Non-PII is information that cannot be used to identify a particular individual. For example, Huawei will collect statistical data, such as the number of visits to its website. We collect this data to understand how users use our websites, products, and services, so that we can improve our services and better satisfy your needs. Huawei may collect, use, process, transfer, or disclose non-PII for other purposes at its own discretion. We will endeavor to isolate your personal data from non-PII and ensure that the two types of data are used separately. If personal data is combined with non-PII, it will still be treated as personal data during processing.

    Huawei will process your personal data following the requirements of applicable laws on an appropriate legal basis, including:

    (1) Processing your personal data to fulfill the contract when responding to a transaction or service request.

    (2) Processing your personal data with your consent;

    (3) Processing based on the legitimate interests of Huawei when we use your personal data to contact you, conduct marketing or market surveys, improve our products and services, execute and improve our loss prevention and anti-fraud programs, and other purposes. Legitimate interests include enabling us to more effectively manage and operate our business; protecting the security of our businesses, systems, products, services, and customers; internal management; complying with internal policies and processes; and other legitimate interests described in this Policy.

    (4) Processing your personal data as necessary to comply with and enforce applicable legal obligations, cooperate with government authorities, including but not limited to the laws regarding safety and environment in the monitored area of the Event's premise.

    This Policy does not apply to any other activities you might undertake for Huawei, or to data collected in any other way by Huawei or for any other purpose. In those circumstances, separate privacy policies will apply.

    2. Cookies & Similar Technologies

    2.1 Cookies

    A cookie is a text file stored by a web server on a computer or mobile device. The content of a cookie can be retrieved or read only by the server that creates the cookie. The text in a cookie often consists of identifiers, site names, and some numbers and characters. Cookies are unique to the browsers or mobile applications you use, and enable websites to store data such as your preferences.

    Like many other websites or Internet service providers, Huawei uses cookies to improve user experience. Session cookies are deleted after each visit, while persistent cookies remain in place across multiple visits. Cookies allow websites to remember your settings such as language, font size on your computer or mobile device, or other browser preferences. This means that a user does not need to reset preferences for every visit. On the contrary, if cookies are not used, websites will treat you as a new visitor every time you load a web page. For example, if you are redirected to another web page from a website you are already logged in to and then return to the original website, it will not recognize you and you must log in again.

    Huawei will not use cookies for any purposes not stated in this Policy. You can manage or delete cookies based on your own preferences. For details, visit AboutCookies.org. You can clear all the cookies stored on your computer, and most web browsers provide the option of blocking cookies.     2.2 Web Beacons and Pixel Tags

    In addition to cookies, we may also use other similar technologies on our websites such as beacons and pixel tags. For example, when you receive an email from Huawei, it may contain a click-through URL that links to a Huawei web page. If you click the link, Huawei will track your visit to help us learn about your preferences for products and services and improve our customer service. A web beacon is a transparent graphic image embedded in a website or in an email. We use pixel tags in emails to find out whether an email has been opened. You can unsubscribe from the Huawei mailing list at any time if you do not want to be tracked in this manner.

    By using our website, you consent to the use of cookies, web beacons, and pixel tags as described above.

    3. How We Disclose Personal Data

    Huawei will only disclose your personal data under the following circumstances; otherwise, we will not share your personal data with any third party.

    (1) Huawei may disclose or transfer your personal data to its subsidiaries or authorized third-party partners. This means your personal data may be transferred to countries or regions outside the places where you are located or where we collect your personal data, and be accessed and stored in those jurisdictions. To respond to your requests, Huawei may need to provide some services through its subsidiaries or partners. Therefore, we may need to share some of your personal data with that subsidiary or partner. To prepare the exhibition pass, Huawei has to share your personal data with the exhibition service providers. However, we strictly forbid our partners from using your personal data for other purposes.

    (2) To comply with the law, Huawei may also disclose or transfer your personal data to comply with legal obligations, or to support or assist law enforcement organizations with regard to the investigation and prosecution of civil or criminal or administrative proceedings.

    4. How to Access & Control Your Personal Data

    It is your responsibility to ensure that all personal data submitted to Huawei is correct. Huawei is dedicated to maintaining the accuracy and completeness of personal data and keeping the data up-to-date.

    To the extent required by applicable law, you may (i) have the right to access your personal data we maintain, (ii) request that we update or correct inaccuracies in that data, (iii) object or restrict to our use of your personal data, and (iv) ask us to delete your personal data from our database. To exercise these rights, please contact us at cnbgevent@mail01.huawei.com or DPO contact address at the end of this policy. Your written request may be required for security. We may decline the request if we have reasonable grounds to believe that the request is fraudulent or unfeasible or may jeopardize the privacy of others.

    You have the right to withdraw your consent at any time when Huawei possesses your personal data based on your consent. However, withdrawal does not affect the legitimacy and effectiveness of how we process your personal data based on your consent before the withdrawal is made; nor does it affect any data processing based on another justification other than your consent.

    5. How We Protect and Retain Your Personal Data

    The security of your personal data is important to us. We use appropriate physical, organizational , and technical measures to protect your personal data from unauthorized access, disclosure, use, modification, damage, or loss. For example, we use cryptographic technologies for data confidentiality, protection mechanisms to prevent attacks, and access control mechanisms to permit only authorized access to your personal data. We also provide training on security and privacy protection for employees to raise their awareness of personal data protection. Huawei is committed to protecting your personal data; however, please note that no security measure is perfect. In case of information leakage, we will take all measures required by applicable Data Protection laws and regulations to mitigate or eliminate any negative impact.

    We will retain your personal information for no longer than is necessary for the purposes stated in this Policy, unless otherwise extending the retention period is required or permitted by law. Information regarding your identity document and place of departure will be deleted within one working day after the Event finishes. The recording materials will be deleted within two years. We will maintain your registration information as long as your account is necessary for service provision. You can choose to deregister your account. After you deregister your account, we will stop providing you with products and services through your account and delete your relevant personal data registered for the Event, provided that deletion is not otherwise stipulated by special legal requirements.

    6. Third-Party Providers and Their Services

    You can consider to share information via the Event website or the mobile app with Huawei and third parties. If you participate in activities on site at premise, the Event partners may scan the QR code on your exhibition pass. The QR code contains the personal information you provided to us during registration:

  • If you do not want the Event partners to use the information, do not show your QR code for them to scan.
  • If you allow the Event partners to scan your QR code that contains your personal information, Huawei will share your personal information with the partners.

    To provide you with better customized services, the partners may contact you to push the latest service/product information. If you refuse to accept such product information, you can directly provide feedback to the partners.

    Huawei has no rights to control such third parties or their privacy and data protection policies. Such third parties are not subject to this Policy. Before submitting personal information to third parties, please refer to their privacy protection policies.

    7. International Transfers of Your Personal Data

    The Event will be held in Dubai and be broadcasted on Huawei's official website, and the personal data you submit to Huawei will be stored in Dubai or China. In such circumstances, Huawei will take measures to ensure that data is processed as required by this Statement and applicable laws, which includes when transferring the data subject's personal data from the EU to a country or region which has not been acknowledged by the European Commission as having an adequate level of data protection, we may use a variety of legal mechanisms, such as signing standard contractual clauses approved by the European Commission, obtaining the consent to the cross-border transfer of a data subject in the EU, or implementing security measures like anonymizing personal data before cross-border data transfer.     8. Updates to This Policy

    Huawei reserves the right to update or change this Policy at any time. We will release the latest Privacy Policy on this page for any changes. If major changes are made to the Privacy Policy, we may notify you through different channels, for example, posting a notice on our website or sending you direct notification. You are welcome to read this Policy to understand the details at any time.

    This Privacy Statement are made in English language and Mandarin. In the event of a dispute as to the terms thereof the English version shall prevail.
